Position: Training Facilitator & Planner

Pay Scale: $60 p/ Hour Contract (P/T)

Location: Work from Home/Office and at various Houston Event Locations

Description:

Alliance of Community Assistance Ministries, Inc. (ACAM) provides training to ministry volunteer, fund development, program and thrift store managers for ministries in the Houston region. The Training Facilitator and Planner will perform the following:

2019-2020

  • Obtain remote login access and become familiar with ACAM electronic files, filing system and program operating procedures
  • Arrange for training with current consultant on the training advertising and registration payment procedures and tools
  • Arrange for training with ACAM on attendance log, and tracking of evaluation and survey results
  • Ensure February 2019 trainings are prepared, including reaching out to potential speakers
  • Develop the full schedule of Trainings for 2019 based on the approved 2019 ACAM Training Plan, scheduling times and dates. (Template Attached) The Training Plan is subject to change, and the consultant is encouraged to be creative in obtaining speakers and engaging the attendees.  The consultant shall keep an up to date Training Calendar on the ACAM system at all times and shall include ACAM staff on all electronic invitations.
  • Secure free or low-cost meeting space for as many trainings as possible in advance of trainings (ex. United Way on Waugh Drive, One Voice, Amegy Bank)
  • Arrange for the distribution of the 2019 All Access Pass invitation letters and programs (ACAM will provide), follow up on All Access Pass invitations with the goal of increased participation of organizations (prospect list provided by ACAM), and send ACAM updated contact information as needed

2019-2020

    • Research and select appropriate speakers and Training Plan topics for the targeted audience (approximately 23 events through October each calendar year)
    • Secure talented speakers for the events including speaker agreements. Collect and document pro bono/in-kind speaker fees for proper recognition and audit documentation.  ACAM does activity record professional fees that are donate in-part or in total and requires a no charge invoice signed or an ACAM in-kind form be executed to record such services donations.
    • ACAM has an allowance for speaker fees.  All fees must be approved by authorized ACAM staff in advance.  Consultant is encouraged to seek in-kind services whenever possible.
    • Send announcements and collect RSVPs through ACAM's online system (Whoozin) and monitor registration payments through (Stripe)
    • Relay changes to the schedule to ACAM staff so that ACAM may update its internal and online calendars of events accordingly
    • Facilitate networking, discussion and a team-building atmosphere among training attendees during events
    • Record Attendance (average attendance is 15-20 people per event) in ACAM Attendance Log. Maintain and update ACAM attendance log no less than quarterly (Due 1st week of Mar, Jun, Oct, Dec).
  • Distribute, collect and record training evaluation and pre-test/post -test survey results for each training event. All files should always remain on ACAM’s network for ACAM review at any time and for end-of-year evaluation analysis by ACAM.
  • Prepare ACAM's 2020 Annual Training Plan, which includes obtaining attendee and ministry leadership feedback through focus groups and online planning surveys
  • Manage payment processes using ACAM's online payment system and manage contingency plans for unanticipated cancellations or unavailability of speakers and cancellation processes due to weather events.

The contract allows for approximately 10 billable hours per training event, 10 hours per event at $60 per hour ($600 per event), and a planning fee of 10 hours at $60 per hour ($600 for collecting and recording feedback for plan development). Events run from February - October and planning takes place in August - January. Most work can be completed on your own schedule from your home or office. The position does require attendance at all events scheduled, which normally take place between 9 am and 4 pm Monday - Friday for various lengths of time (on average 3-4 hours per training). The total annual contract amount for CY2020 is 23 events and 1 plan not exceeding $14,400 per calendar year. The 12 remaining events for 2019 are not to exceed $7,800 including a $600 planning fee for the 2020 Training Plan. The total contract shall not exceed $22,200 for a term of July 1, 2019 through December 31, 2020.

The consulting contract is a project management contract, and as such consultant may invoice monthly or quarterly based on the number of trainings during the period that have been successfully planned and executed once the training data for each event has been uploaded to the ACAM system.
